Book a shipment in — stock, supplier ledger and the journal post together.

When the shipment lands, a goods receipt (GRN) books it in: stock goes on the shelf, the supplier ledger takes the payable, and the accounting journal writes itself — one posting, everything consistent.

Receive a shipment

  1. Open Purchases.
  2. Add the arrived items — scan them, search, or load an existing purchase order.
  3. On each line set Received to what actually arrived (not what was ordered — count the boxes).
  4. Set Cost per line — and MRP if this lot sells at a different price.
  5. Choose the receiving mode: Full (everything now), Partial (some now, rest later), or Pending (order only, nothing received yet).
  6. Pick the supplier, the receiving location, and the payment mode.
  7. Post.

Partial deliveries

Posting a partial receipt keeps the PO open — the ordered-vs-received columns on Purchase orders show what's still owed by the supplier until it completes.

Per-line extras

Expand a line's detail row for:

  • Batch number + expiry — see batches & expiry
  • Line discount and tax — landed cost that matches the supplier's invoice
  • MRP — this lot's selling price, if it differs

Note: Posting a GRN writes the purchase journal automatically. Don't double-enter it in the journal — the document already did the accounting.
