A purchase order records what you ordered; receiving records what arrived. Keeping them separate is how you catch short shipments and wrong prices.
Create a PO
- Open Purchases — the entry screen is a goods-receipt workspace.
- Scan or search items, or tap them from the catalog strip — each becomes a line.
- On each line set Qty (ordered) and Cost (what you're paying).
- Pick the supplier and the location the stock will land at; add the vendor's invoice number for the paper trail.
- Set the receiving switch to Pending to order now and receive later.
- Choose how it's paid: credit (lands on the supplier's payable ledger), pay now (pick the cash/bank account), or opening (first-time stock setup — no payable).
- Post.
Track it
Purchase orders lists every PO — ordered vs received quantities stay visible until the order's fully received, so "we ordered 50, got 40" is obvious at a glance.
Big loads
- Bulk matrix handles size-run apparel orders (qty per size in one grid).
- Bulk receive pastes whole item lists at once.
Next: receive the shipment when it arrives.
