Roles decide what a login can do. The built-ins cover most shops — owner (everything), admin, manager, cashier (till only) — but Roles lets you build exact-fit custom ones.

The permission matrix

Staff & access → Roles shows permissions grouped by module — POS, inventory, purchasing, accounting, settings. Each permission is a specific ability: sell, override price, adjust stock, post journals, edit settings.

Create a role

  1. Click Create role and name it — "Warehouse", "Senior cashier".
  2. Tick the permissions it needs. Start narrow: add abilities when someone actually needs them.
  3. Save — the role appears in the picker when you add staff.

Permissions worth restricting

These are the ones that move money:

  • Price override — who can change a price at the till
  • Stock adjust — who can write inventory corrections
  • Discounts beyond a cap — who can mark down
  • Accounting access — the cashbook, journals, reports
  • Settings — receipt, tax, users

Built-in vs custom

Use a built-in whenBuild a custom role when
Cashier just sellsManager can refund but can't see payroll
Owner does everythingWarehouse receives stock but can't sell

Tip: Test a new role by signing in as it — the screens it can't access simply don't appear in the menu, so a quick look confirms the matrix.
