Pharmacy POS Software
Pharmacies cannot afford expired medicines or missing batch records. Every tablet, syrup and injection has a lot, batch and expiry that must be traceable from supplier to customer. SYEZPOS tracks batch and expiry from receiving to sale, shows the earliest-expiring batch at checkout, and links every sale back to the supplier for recall traceability. Customer records, role-based access and a clean supplier PO workflow help the counter stay accurate and accountable. That control protects patients, cash flow and the pharmacy's reputation.

Batch, expiry and traceability
Medicines need to be traceable by lot and batch. SYEZPOS records batch, lot, supplier and expiry on the GRN, and each sale is linked to a batch. That makes it possible to trace a medicine from the supplier to the customer, and to manage returns or recalls with a complete record. Without that link, a customer complaint or supplier recall becomes a search through boxes of paper receipts.
Expiry alerts flag stock that is approaching expiry, so the pharmacy can return it to the supplier or move it before it becomes waste. The counter always knows which batch was sold, when and to whom, so the paper trail is replaced by a searchable digital trail. That level of visibility is the difference between a controlled pharmacy and one that discovers expired stock during an audit. Regular expiry reports also help the buyer plan returns before the supplier's credit window closes.
- Record batch, lot and supplier on every GRN.
- Every sale is linked to a specific batch.
- Expiry alerts reduce the risk of dispensing expired products.
Customer records and controlled access
Pharmacy customer records include purchase history, contact details and special instructions. SYEZPOS stores this against sales, and role-based permissions ensure only authorised staff can view sensitive records or process refunds. Not every counter person should see supplier costs or customer histories, and the system enforces that boundary. Permissions can be scoped by branch, role and even by sensitive product groups.
Manager approval can be required for returns and high-value refunds, so policies are enforced by the system. An activity log shows who sold, refunded or adjusted stock, which makes it easier to review unusual events and keep the counter accountable. If a refund or stock change happens outside the normal flow, the manager is notified before the transaction completes. That audit trail becomes a simple defence if a transaction is ever questioned.
- Customer purchase history is stored against every sale.
- Role-based permissions protect sensitive records.
- Manager approval for refunds and returns.
Supplier and PO workflow
Medicines arrive from many suppliers, each with different terms and delivery schedules. SYEZPOS links purchase orders, GRNs and supplier bills to the supplier record, so the pharmacy knows what was ordered, what arrived and what is owed. A missing delivery is caught early because the PO, GRN and bill are in one place. The buyer can also see price trends and compare supplier delivery times from the same record.
The supplier ledger updates with every payment, and purchase history helps the buyer negotiate better terms. When a batch needs to be returned, the supplier and PO link makes the process traceable and the paperwork easy to find. The owner can see payables aging and plan cash flow without exporting data to another spreadsheet. That single ledger is what keeps payables from becoming a surprise at month end.
- Raise purchase orders and record GRNs against suppliers.
- Supplier bills and payments update the ledger.
- See every order, receipt and payment by supplier.
FEFO guidance and recall trace
Selling the oldest-expiring stock first reduces waste and improves traceability. SYEZPOS shows the earliest-expiring batch at checkout, so staff can select it before newer stock. It does not force a specific batch, but it makes the right choice visible and reduces the chance of expiry losses. That guidance is especially important for medicines, where a single expired strip can cost more than the software itself.
Because every sale is tied to a batch, a recall or supplier return can be traced to every customer and sale. The pharmacy can pull a batch report, see every transaction, and take action without searching through paper receipts. SYEZPOS provides the data needed for traceability; it does not make regulatory compliance claims. Pharmacy teams can also filter batch reports by supplier, date or product for faster review. The system gives the pharmacy the tools to respond quickly and accurately.
