Which report answers what
| Question | Report |
|---|---|
| Did we make money? | Income statement (P&L) — revenue minus expenses over a period |
| What's the business worth? | Balance sheet — assets = liabilities + equity, on a date |
| Do the books balance? | Trial balance — every account's debit/credit balance; totals must match |
| How's cash moving? | Cash flow — in/out across cash and bank accounts |
| What happened today? | Day book — all entries for a date |
| One account's story? | Ledger — every line against one account |
Read them right
- P&L is a period ("March"), balance sheet is a snapshot ("as at March 31"). Comparing them needs matching date logic.
- Trial balance totals should always be equal — if they're not, something posted unbalanced (flag it; that's a bug, not a judgment call).
- Every figure drills back to the journal entries that made it — reports are views, never separate numbers.
Tip: Give your accountant the trial balance + P&L at month-end. If they ask "which account is X in," open the chart of accounts together — chart of accounts.
